Proxy Representative
Introduction
In instances where a resident is off campus and needs to retrieve a critical item from their room or suite, they may grant permission for a proxy representative to enter their assigned space on their behalf. The designated proxy representative must be either a family member or a University affiliate. This process is intended strictly for the retrieval of essential items and may not be used to complete a full move-out or room checkout.
Policy
Columbia Housing will only recognize permission submitted through the official Proxy Representative Form. Upon approval, a Housing staff member will grant the approved non-resident access to the assigned room or suite. Housing reserves the right to deny any proxy representative request at its discretion.
Residents are permitted one complimentary proxy representative per academic term. Each additional request will incur a $20 charge to the resident’s student account.
If the requested item is located within a shared or common space, such as a suite, all assigned residents of that space must provide consent and agree to grant access prior to approval of the proxy request.
Proxy Representative Affiliation (Required)
To support verification of identity and relationship, please indicate the proxy representative’s affiliation with the resident by selecting one of the following:
- Parent
- Sibling
- Close Family Member
Your proxy must be at least 18 years of age or older.
Procedure
- Complete the Proxy Representative Form
- The resident requesting a proxy representative will receive an email notification from Housing. The email will contain confirmation or denial of the proxy representative and other important details.
