Check-In & Moving Instructions for 2023 Summer Housing & Spring Extensions

Your Spring 2023 Extension Assignment

As we prepare for summer, several buildings will be closed. Some students will be required to relocate to a new assignment for their extension.  Please reference the email sent by Columbia Housing on May 8 to determine if you are required to move and when, and review your extension housing assignment in the Housing Portal

Moving Instructions

If you are required to move, please follow these steps:

  1. Visit the Hartley Hospitality Desk to get a temporary key to your new room and a door card for your new room.
  2. Move your belongings to your new room. You must complete the move by 12 p.m. on the day listed in your email.
    • Bin rentals are available from the Hartley Hospitality Desk.
  3. Drop off temporary key to the collection box at the guard’s desk of your building and encode your CUID at the encoder in your building lobby. To encode your CUID, insert your CUID face up into the ID slot of the encoder. The magnetic strip should be positioned on the bottom right side of your CUID. This step is necessary to update your CUID with access to your summer assignment.
  4. Hang your door card: This card tells Facilities staff that the room is occupied. Please hang the card on your door as soon as you move in.

Next Steps:
  • Hang Your Door Card: Your RA will provide you with a door card by May 12. This card tells Facilities staff that the room is occupied. Please hang the card on your door as soon as you receive it.
  • Encode your CUID on May 19 to maintain room and building access: Insert your CUID face up into the ID slot of the encoder in your building lobby. The magnetic strip should be positioned on the bottom right side of your CUID. This step is necessary to maintain CUID access to your room.
    • Note: this step may not be necessary depending on your building. Please refer to the email sent on May 8.

Check-Out

Your Check-Out date is available in the Housing Portal . On that day, you are required to vacate your room and complete online Web Check-Out:

  1. Log in to the Housing Portal 
  2. Click on Web Check In/Out in the menu 
  3. Follow the prompts until you have reached the confirmation page 

Your housing is only approved if you received notification from Columbia Housing.

Please note: spring interim is separate from summer housing. If you were not approved for spring interim housing, you will be required to check out of housing at the end of spring term.

Room Assignment 

Log in to the Housing Portal to view your Summer 2023 assignment. All summer housing assignments are single occupancy.

To-Do Now: Sign Your Occupancy Agreement 

You must sign the Housing Occupancy Agreement by 11:59 p.m. EST on May 12. Failure to sign by the deadline may result in the cancellation of your housing offer. An important part of this is agreeing to abide by the policies outlined in the Guide to Living

Check-In Instructions 

Check-In for summer housing is on Sunday, May 21 from 10 a.m. to 2 p.m. and will be conducted online. Please follow the steps below to complete Check-In.

  • Before you arrive on campus:
    1. Log in to the Housing Portal 
    2. Click on Web Check In/Out in the menu 
    3. Follow the prompts until you have reached the confirmation page 
  • At your building:
    1. Encode your CUID at the encoder in your building lobby. Insert your CUID face up into the ID slot of the encoder. The magnetic strip should be positioned on the bottom right side of your CUID. Once your CUID has been encoded, it will automatically update with access to your room. 
    2. Note: You must sign your Occupancy Agreement before completing online Check-In. You will not be able to check in nor encode your card unless your Occupancy Agreement has been signed.

Bin rentals are available at the Hartley Hospitality Desk to facilitate your move-in.

Moving & Check-In Instructions

If you are required to move, the date of your move depends on your current, Spring 2023 building:

  • If you live in 47 Claremont, Broadway, East Campus, Harmony, Hogan, SIC House, Wallach, Watt, or Woodbridge:
    • Move Start Date: May 18 at 3 p.m.
    • Move End Date: May 19 by 12 p.m.
  • If you live in Brownstones, Carman, Carlton, Furnald, McBain, Ruggles, or Wien:
    • Move Start Date: May 20 at 3 p.m.
    • Move End Date: May 21 by 12 p.m.

Please follow the steps below to complete your move:

  1. Visit the Hartley Hospitality Desk to get a temporary key to your new room.
    1. In order to request a temporary key, you must have signed your Summer 2023 Occupancy Agreement.
  2. Move your belongings to your new room. You must complete the move by 12 p.m. on the date assigned to your building.
    1. Bins can be rented from the Hartley Hospitality Desk.
  3. Drop off temporary key to the collection box at the guard’s desk of your building and encode your CUID at the encoder in your building lobby. To encode your CUID, insert your CUID face up into the ID slot of the encoder in your building lobby. The magnetic strip should be positioned on the bottom right side of your CUID. This step is necessary to update your CUID with access to your summer assignment.

Beginning May 18, interim and summer residents may contact the RA on duty for emergency assistance at 917-790-3362. RAs are on duty during the week from 9 p.m. – 8 a.m. each day, and all weekend, beginning at 9 p.m. on Fridays until 8 a.m. on Mondays.
